Behind the Build

Evergreen Webinar Experience

How a live webinar campaign was transformed into an evergreen, gated content experience designed to extend engagement and continue generating leads after the event.

Project Overview

After the live AI in HealthTech webinar concluded, I repurposed the campaign into an on-demand experience that could continue supporting lead generation and audience engagement.

The original webinar landing page had been designed around a live event, with registration embedded directly into the experience. For the evergreen version, I restructured the journey by separating registration from the webinar content, creating a dedicated replay registration page, a post-registration access experience, and a protected destination for the recorded webinar.

The Challenge

Once the live event ended, the user journey needed to change. The webinar was no longer something visitors registered to attend at a specific time. It had become a reusable content asset that needed to remain valuable while continuing to support lead capture.

The new experience needed to:

  • Extend the value of the webinar beyond the live event
  • Create a clear path to request on-demand access
  • Capture lead information before providing the recording
  • Deliver replay credentials immediately after registration
  • Protect the webinar content while keeping access simple
  • Connect the experience with HubSpot for lead capture and tracking

My Role

Content Strategy • UX Design • Copywriting • WordPress Development • HubSpot Integration • Conversion Strategy

I redesigned the post-event experience from registration through replay access, adapting the existing campaign infrastructure into an evergreen lead-generation journey.

  • Defined the post-event conversion journey
  • Created the standalone webinar replay registration page
  • Updated messaging and calls to action for on-demand access
  • Configured the HubSpot registration form and redirect behavior
  • Created the post-registration access experience
  • Converted the original webinar page into a protected replay destination
  • Configured unlisted YouTube hosting and embedded the recorded webinar
  • Tested the complete registration and access flow

From Live Event to Evergreen Experience

The live webinar originally used an embedded registration experience within the campaign landing page. After the event, I restructured that architecture so the webinar could continue working as a gated, on-demand resource.

Evergreen user journey:
Replay registration page → HubSpot form submission → Thank-you page with access credentials → Protected webinar page → Recorded webinar

1. Dedicated Replay Registration

I separated registration from the original webinar landing page and created a dedicated entry point for visitors requesting access to the replay. This allowed the messaging and conversion path to reflect the new on-demand experience rather than the original live event.

2. HubSpot Form & Conversion Routing

The registration form captures essential lead information in HubSpot. I configured the post-submission action to redirect registrants to a dedicated access page, connecting lead capture directly to replay delivery.

3. Immediate Replay Access

After registering, visitors arrive at a dedicated confirmation page that provides the credentials needed to access the protected webinar. A primary call to action moves them directly to the replay, while a secondary pathway encourages continued exploration of Simbex resources.

4. Protected On-Demand Experience

The original webinar landing page was repurposed as the protected destination for the on-demand experience. After entering the credentials provided at registration, visitors arrive at a redesigned webinar experience with messaging adapted specifically for on-demand viewing.

For video delivery, I used YouTube’s unlisted publishing option and embedded the recording directly within the protected WordPress page. This provided reliable, no-cost video hosting while keeping the replay out of normal public discovery and allowing viewers to remain within the branded Simbex experience.

Key UX & Conversion Decisions

  • Separated lead capture from content delivery to create a clear gated journey
  • Updated messaging from live-event registration to on-demand access
  • Used an immediate post-submission redirect to minimize friction
  • Provided access credentials at the point of conversion
  • Used unlisted YouTube hosting to deliver video without adding a paid video platform
  • Kept the recorded webinar within the branded website experience
  • Added a secondary resource pathway to encourage continued engagement
  • Reused existing campaign infrastructure rather than treating the webinar as a one-time asset

Technical Integration

The evergreen experience connected multiple platforms and components into a single conversion and content-delivery path:

  • WordPress page development and content updates
  • HubSpot form integration and lead capture
  • Post-submission redirect configuration
  • Password-protected content delivery
  • Unlisted YouTube video hosting and embed configuration
  • Campaign tracking and reporting infrastructure
